Ultimate Travels & Tours LLC is committed to clear and fair policies. This Refund Policy explains how refunds work for fees paid directly to us and for travel purchases provided by third-party suppliers (airlines, hotels, tour operators, cruises, transportation providers, and travel insurance companies).

Planning Fees & Service Fees

If you purchase travel planning services (e.g., consultations, itinerary building, research, booking assistance), these are professional services and time-based work.

  • Planning/consultation fees are non-refundable once the service has started (including research, supplier outreach, quote preparation, itinerary drafting, or booking work).

  • If you cancel before we begin work, you may request a refund within 24 hours of payment, minus any non-refundable processing fees charged to us by the payment provider (if applicable).

  • If you purchase a package of services, unused portions may be refundable only if clearly stated in your invoice or service agreement.

Deposits & Booking Fees

Some trips require deposits to secure reservations. Deposits and booking fees may be:

  • Non-refundable (most common), or

  • Refundable only under specific supplier conditions.

Your invoice/receipt will indicate whether a fee is refundable and under what conditions.

Third-Party Supplier Refunds (Airlines/Hotels/Tours/Cruises)

Refunds for travel components (airfare, hotels, tours, cruises, transportation, event tickets, etc.) are governed by the supplier’s terms and conditions, not ours.

  • We cannot override supplier policies.

  • If a supplier issues a refund, it will be returned to the original form of payment according to the supplier’s timeline.

  • Supplier penalties, change fees, cancellation fees, or no-show fees may apply.

Cancellations, Changes, and No-Shows

If you request changes or cancellations after booking, additional fees may apply:

  • Supplier change/cancellation penalties

  • Price differences due to rebooking

  • Service fees for additional planning/booking work (if applicable)

No-shows are typically non-refundable per supplier policies.

Travel Insurance

Travel insurance is strongly recommended. If purchased, refunds for travel insurance are governed by the insurance provider’s policy and eligibility rules.

Chargebacks and Payment Disputes

We encourage you to contact us first so we can resolve issues quickly. Unauthorized chargebacks may result in cancellation of services and may be subject to documentation review and dispute response with the payment provider.

Processing Time

  • Approved refunds for fees paid directly to Ultimate Travels & Tours LLC are typically processed within 5–10 business days.

  • Bank/payment provider posting times may vary.
